Job Summary Harvard Pilgrim Health Care Institute is currently seeking a highly motivated individual to join our organization as an Administrative/Project Specialist within the Division of Chronic Disease Research Across the Lifecourse (CORAL) within the Department of Population Medicine (www.populationmedicine.org). The mission of the Division of CoRAL is to lessen the burden of chronic-diseases and obesity-related disorders by conducting epidemiologic, intervention and health services research studies within defined populations. The Administrative/Project Coordinator will be responsible for providing organizational, administrative, and some research support for faculty and key team members. This role will support various projects such as our team's projects related to epidemiologic studies and chronic disease research through the lifecourse.Successful candidates are highly detail-oriented, self-motivated, and have experience managing multiple high priority tasks. This position requires the ability to anticipate the needs of CORAL staff and faculty. If you are interested in or looking to gain experience in a public health or academic research setting, this is an excellent opportunity. Prior experience in these areas is a plus but not required. Key Responsibilities/Duties - what you will be doing Oversee faculty members' calendars and maintain their CVs and other support documentation. Provide general administrative support for faculty and key team members, with proven track record of high-level detail oriented performance: duties include drafting/proofing/editing/formatting professional-level communications, creating slide decks, coordinating travel arrangements, and preparing and tracking expenses and purchase orders, Help with tracking expenditures, payment reimbursements. Coordinate grant application process from start to finish, including creating and managing timelines and milestones. Initiate and complete the administrative part of the applications, helping with budget documentation, updating biosketches, requesting and organizing subcontract materials, and supporting other administrative pieces of proposals. Arrange, coordinate, and facilitate virtual and in-person meetings and events; assist team members with planning and implementation of CoRAL events and activities. Perform various tasks to support the CoRAL division, including gathering newsworthy information, preparing newsletter, maintaining social media presence and updating website(s) if necessary. Organize reference processes and publications tracking, maintaining reference databases, formatting, proofing and editing manuscripts. Support cross-functional department activities requiring effective communication with all levels of management to achieve deliverables. Work on special projects as needed. Other duties and projects as assigned. Qualifications - what you need to perform the job EDUCATION, CERTIFICATION AND LICENSURE: Bachelor's degree preferred or comparable professional work experience. SKILL REQUIREMENTS: Proficiency with various software packages, including Adobe, Microsoft Word, Excel, Access and Power Point, and other desktop tools. Excellent attention to detail, highly organized and able to handle multiple tasks simultaneously. Good interpersonal skills; solid written and oral communications skills.
