Job Title : Residency Program Coordinator Department : Medical Staff Reports To : Vice President of Medical Affairs, Residency Program Director, Director of Medical Staff Job Summary : The Residency program coordinator assists the residency program director with day-to-day administration of the training program. The coordinator will assess a wide range of programmatic issues including maintaining databases, developing projects, recruiting trainees, communicating with faculty and trainees regarding a range of issues, and managing internal and external program relations. The program administrator's role crosses many specialty areas including: administrative, finance, human resources and event planniing. The position is essential in training program operations and is a primary resource for learners, faculty and administrative staff. Job Responsibilities include : Planning and implementing the recruitment of trainees Executes institutional and/or program activities with a high degree of independence (e.g. educational events, trainings, recruitment, orientation, graduation, site visits, etc). Partners with student coordinator to arrange other learners onboarding, electives and rotations. (Medical Students/PA/NP students) Assisting CHS faculty in the Weill Cornell faculty appointment process Creates processes for tracking data related to rotations, procedure logs, Clinical and Learning hour compliance, conference attendance, evaluations, scholarly activity, QI/Patient Safety projects, licensure, vacation and sick time. Assists program leadership with development of program evaluations, disseminates, monitors completion and tracks action plans. Schedules didactics and speakers and creates appropriate education calendars. Maintains knowledge of current immigration policies, verifies Educational Commission for Foreign Medical Graduates (ECFMG) documentation and ensures that visa requirements are met. Functions as a liaison between the residents/fellows, program director, faculty, human resources, participating sites, and other internal department and outside agencies. Knowledgeable on appropriate releases of information and ensures the program is properly protected prior to releasing any information or verifications on a current or past trainee. Attends Clinical Competency Committee (CCC) meetings, Graduate Medical Education Committee (GMEC), Program Evaluation Committee (PEC) meetings, takes minutes, and creates follow up or action plans as needed. Gathers financial data for monthly, quarterly and annual reporting to assist in creation of program budget based on projections. Processes vendor payments, resident account reimbursements, and program memberships. Instructs trainees on matters of travel and expense reimbursements. Prepares financial documents and reports as needed. Develops program-related materials including educational materials, marketing materials, web sites, forms and reports. Reviews credentialing documents for all incoming trainees according to institutional guidelines and resolves issues as they arise Completes and submits, in partnership with program director, the annual ACGME WebADS update Provide support to Program Director, Associate Program Directors, Program Site-Directors and Chief Residents as necessary. Is flexible in assuming other appropriate responsibilities not noted above. Requirements :Education - Bachelor's degree requiredExperience - Three years of office/administrative experience, preferably in a dynamic, fast paced environment. Skills and Abilities Exceptional organizational skills. Strong oral verbal and written communication skills. Working knowledge of software applications including Microsoft Word, Excel, and PowerPoint. Ability to handle sensitive information with absolute confidentiality. Ability to independently organize, schedule and prioritize work for self and others to meet deadlines. Ability to adapt to new or changing situations. Understands general financial and budgetary process. Licensure - N/APhysical Requirements - The ability to lift 25 pounds.
