Works with internal and external parties on space design and planning. Manages multiple facility-related systems within AgeSpan, while providing superior customer service in daily interactions with staff, volunteers, and community members. As a working supervisor, actively participates in the functions of the facilities department as needed. Must be available for emergency management 24-7 and have a coverage plan for times when not available. Essential Functions: (Core duties or tasks that are fundamental and not marginal to the performance of the job) Manages and provides hands-on support for all facility and maintenance functions, including landlord relations, daily maintenance, security, parking, shredding, drinking water, locksmith, pest control, off-site storage, space planning, and vending among others Ensures that facilities are clean and maintained properly. Advises and informs leadership and internal stakeholders of potential maintenance, facilities and space issues. Acts as first point of contact and liaison between the Agency and property managers/landlords, managing all landlord/tenant issues including parking, construction, maintenance, building access, vehicular incidents on the property, and any grounds issues. Serves as primary point of contact for emergencies after hours. Develops and maintains a coverage plan for 24/7 coverage for facilities emergencies. Supervises facilities department staff, including selection, retention and performance management. Oversees and participates in departmental daily workflow, scheduling, and assignments. Assist the Human Resources, Development and other departments in planning and executing events. Oversees facilities maintenance program, including monitoring requests and completion. Manages space allocation including seating assignments. In collaboration with vendor and other key staff, develops of space designs and improvements and oversees execution. Manage maintenance and facility vendors and act as liaison between Agency and vendors. Manages and reviews service contracts. Oversees Agency security. Includes acting as the business lead for the security software, assigning and managing access to agency areas and providing reports as necessary. Oversees management of agency security access passes and any physical issues related to system. Oversees parking garage access and pass system at Lawrence location, in collaboration with landlord. Maintains account for validation and pass management purposes. Oversees furniture ordering and installation . Serve as liaison with vendor for cubicles/office furniture. Maintains signage at both sites, in collaboration with Communications department. Oversees all aspects of key maintenance including managing relationship with locksmith, ordering, assigning, and distributing keys. Oversees facilities-related accounts payable, including invoice approval. Ensures all security and facilities related policies and procedures are up to date and available appropriately to staff. Develops and provides annual emergency training for staff, typically in September. Oversees evacuations in the event of a fire drill. Actively participates in Operations Committee, the Weather Team and in annual COOP Plan Review Committee. Participates in other workgroups/committees as needed. All other duties as assigned. Qualifications: High School diploma or the equivalent required. A minimum of 5 years experience in building maintenance, facilities maintenance or related position. Basic understanding of or ability to quickly learn the equipment and facilities to be maintained. Must be computer proficient, have excellent customer service and communication skills. Ability to maintain basic records and warranties. Ability to understand written directions in manuals and on manufacturer websites. Experience with service contract review and oversight preferred. Proficient with Microsoft Office Suite or related software as required to complete and maintain records and communicate with appropriate parties. Additional skills required include the need to be well organized, provide attention to detail, understand how to manage systems for efficiency and accuracy and to multitask on multiple levels throughout the organization. Valid Driver's License and car required. Ability to travel and work in both the Danvers and Lawrence offices required. Physical Requirements: Ability to regularly push or pull heavy objects, use a dolly and ladder, crouch, stoop, bend, reach or climb ladder required. Must have the ability to adhere to safe lifting procedures. Must be able to access and navigate all areas of the facilities. Must be able to access all parts of the company equipment. Prolonged periods sitting at a desk and working on a computer at times. Must be able to lift up to 75 pounds at times.
