The Associate Director is responsible for assisting in the development and implementation of all aspects of the undergraduate admission, recruitment, and enrollment processes at St. Mary's University. This position effectively leverages technology to support all recruitment activities, empowers staff to embrace a culture of data informed decision making and serves as a mentor for frontline admission team members. ESSENTIAL DUTIES AND RESPONSIBILITIES: Manages a recruitment territory including collaboration on the implementation of a comprehensive recruitment plan for prospective students, families, school counselors, community college advisors, and other constituents. Assists in the development, implementation, execution, and evaluation of recruitment initiatives targeting specific geographical markets both on campus and off campus for undergraduate first-year and transfer students in order to meet enrollment goals. Supports the efforts of the department in the development, evaluation, maintenance and implementation of the undergraduate Strategic Enrollment Management Plan; Supervises front-line admissions team and is responsible for the oversight and implementation of the annual recruitment pan; Supports professional development for admission staff and ensure that all personnel are well-trained. Evaluates admissions applications and make admission decisions on undergraduate applicant files. Conducts meetings with prospective students and parents, providing accurate information regarding the institution's current admission standards, academic and related programs, student life, cost, and financial aid. Monitors trends and changes within the college admissions and the enrollment management profession. Serves as functional user of all database and technology systems related to the Department. Includes systems such as: the student information system (Banner), Short Message Service/Text messaging system (Mongoose Cadence), Slate Consultant Relationships Management and additional software used in recruitment strategies, yield management, forecasting, and operational efficiency. Serves on university committees/councils as assigned Travels on behalf of the university for recruitment purposes, professional development, and other college related events. Travel may constitute up to 30% of annual work with seasonal fluctuations and demands. Performs other duties as assigned. QUALIFICATIONS: Bachelor's degree from a regionally accredited four-year college/university required; Master's degree preferred 3-5 years enrollment management and/or college admission counseling background with progressive experience required; 5-7 years preferred. Must clear and maintain a favorable background investigation and clearance Must have valid driver's license, motor vehicle liability insurance and personal injury insurance; or have a self-reliant source of transportation to conduct business on a daily basis Must be able to travel and work extended hours or weekends during peak times and for special programs, projects, and events. Must have the ability to demonstrate intermediate to advanced skills in MS Office and Office 365 (Word, Excel, Teams, Outlook and PowerPoint) including experience with virtual platforms such as Zoom; Experience in Technolutions, Slate CRM and Banner software is preferred Must be able to present and engage in a stationary position with various constituencies, both in online and physical spaces, for up to three (3) continuous hours. Must have excellent verbal and written communication skills. Strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; an ability to work effectively with communities across the university; Highly responsive to the needs of others. Must have a high ethical standard and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; displays solid problem solving and interpersonal skills; works well independently and as part of a team. Must have ability to demonstrate strong analytical skills, attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment, and manage multiple priorities to meet deadlines Ability to work in a goal-driven and measure performance environment. Experience in the implementation and the evaluation of university recruitment and operational processes preferred Experience in direct supervision of professional staff preferred. Shows a working knowledge and proven ability to use analytics as part of a comprehensive enrollment strategic plan. Exhibits initiative, imagination, and organizational abilities to effectively promote and manage the development of best-in-class recruitment and yielding activities. Understanding of the St. Mary's culture and ability to represent and communicate the university mission to prospective students and families is preferred. Bilingual Preferred (English/Spanish with the ability to understand and to make one's self understood to Spanish speaking individuals). PHYSICAL DEMANDS: Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day to day business. While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner. Constantly operates a computer and other office productivity machinery.
