Assistant Controller

POSITION SUMMARY: The Assistant Controller is primarily responsible for training, and directing the Accounting Clerk(s), payroll processing and reporting, closing each financial period, and preparing monthly financial statements and reporting on budget variances. This position is 30-40 hours per week. ESSENTIAL DUTIES AND RESPONSIBILITIES: Use of advanced knowledge of current Generally Accepted Accounting Principles (GAAP) as they apply to this position Ensure compliance to existing policies and procedures, make recommendations for improvements, and implement approved changes Oversee all Accounts Receivable and Accounts Payable activities Create and post all approved journal entries Oversee processing of regular bi-weekly payroll and of miscellaneous payroll checks outside of the regular payroll schedule Oversee processing and reconciliation of payroll deductions, including 401k, FSA, and HSA contributions Compile payroll data for reporting to various vendors and government agencies, and as requested by FD Facilitate and track via third-party payroll service garnishments, quarterly payroll tax payments and reporting, and annual generation of various tax forms Direct and oversee month-end close process, including maintaining supporting spreadsheet schedules and reconciliation of balance sheet accounts Assist with annual financial audit Fill in as Accounting Clerk as business needs require OTHER DUTIES AND RESPONSIBILITIES: Present information and analysis, as requested, to the FD Ad Hoc projects as requested by the FD Other duties as assigned based on business need MINIMUM QUALIFICATIONS AND EXPERIENCE : 5 years accounting experience and high School Diploma or equivalent, required 3 years accounting experience and 4-year accounting degree, preferred Proficiency with relevant accounting software Ability to pass an Oregon Department of Human Services background check 10-key data entry by touch Exceptional attention to detail and accuracy Excellent communication and interpersonal skills High level of integrity and reliability Function in accordance with established standards, procedures and applicable laws TECHNOLOGY & SOFTWARE Quickbooks Premium, nonprofit edition SAGE 300 Premium Paychex Flex and Time & Attendance eXPRS - Oregon Department of Human Services payment portal Microsoft Office 365, and Windows 10 Adobe Acrobat Pro DC PHYSICAL DEMAND: The physical effort typically applied in this job will be minimal. Tasks could include: Typing, Standing, Sitting for long periods, speaking and computer focus. MENTAL OR VISUAL DEMAND: Frequent mental and visual focus is required with this position. Attention to detail and accuracy are critical. WORKING CONDITIONS: Working conditions will typically be in a climate controlled and regulated environment ATTENDANCE: This position requires availability based on business need Your supervisor must be advised regarding use of PTO, planned or unplanned absence Adherence to agency call in procedures are expected SAFETY: There is never a good reason to risk your own personal safety or that of a co-worker, client, or business partner.
