Supports the general administrative functions in a health care setting, including answering phones, greeting/referring/assisting patients, staff, or others, preparing documents and reports, compiling records, scheduling appointments and checking in patients.This position supports the undergraduate medical student experience in the clinical learning environment by performing general administrative support duties related to early clinical and community experiences and clinical rotations. This position reports to the Clinical Education Division at the designated campus; and assists in support across the Clinical Education system.Primary Responsibilities:• Manage early clinical and community experiences.• Responsibilities include but are not limited to:*Scheduling early clinical and community experiences (CCE) using an electronic student management system.*Serving as a liaison with physicians, faculty, healthcare entities and students.*Process, record and provide notifications of student assignment to appropriate entities.*Resolving scheduling and address concerns with CCE experiences.*Tracking CCE evaluation forms.*Reporting CME credit for qualifying preceptors.*Assisting in recruitment of preceptors and community agencies for the CCE program.*Working cooperatively with Records Team.• Provide administrative support for the Clinical Education division and system by performing a variety of duties to ensure the smooth delivery of clinical rotations.• Responsibilities include but are not limited to:*Monitoring the Clinical Education Division administrative processes and coordinating internal and external communications, including meetings and appointment scheduling.*Coordinating rotation schedules.*Coordinating special projects and special events.*Supporting complex processes such as contracts and affiliation agreements.*Researching and analyzing complex problems and providing recommendations for resolution.*Serving as a resource and guide to others in the department regarding questions of policy and procedural issues, precedents, etc.*Developing and monitoring protocol for handling and maintaining confidential material. Exercising sound judgment in dealing with confidential information and maintaining appropriate level of discretion.*Monitoring budget and other financial documents for the Clinical Education system and division. Completing journal entries as needed. Preparing requisitions, purchase orders, and invoices. Processing expenses through Concur.*Occasionally supervising and/or overseeing the work of student employees and other support staff.*Other duties as assigned to support the division or system as needed. Some of these duties may include rotation coordinating, specific event planning and support, and working with other teams as assigned on special projects.Minimum Qualifications:Familiarity with medical, clinical, mental health, and/or social work environment required. Knowledge of standard administrative procedures and practices, office equipment, and computer software typically obtained by a high school degree or GED or equivalent and 3-5 years related experience. An equivalent combination of education, training, and experience is acceptable. Specific knowledge, certifications, and licensure will apply at the position level.
