Under the guidance of the Executive Assistant to the Mayor, the Office Coordinator supports the mission of the City. This role requires an individual who is highly organized, has excellent communication skills, and is able to work independently in a fast-paced environment. Duties and Responsibilities: Provides administrative support to the Mayor's Office and serves as backup for the Executive Assistant to the Mayor. Assists with various Mayoral Sponsored events including but not limited to: Arbor Day, City Tree Lighting, Senior Christmas Party, State of the City, Employee Appreciation Luncheon, and various committees as needed. Serves as a liaison to external, sometimes internal, callers and guests. This position serves the important role of being the first point of contact for all callers and visitors to City Hall. Assists with the coordination of city-wide mailings and communication in conjunction with the City's Communication Director. Maintains data and workflow to properly maintain the City Customer Relationship Management System. Develops and maintains effective relationships with Department Directors, Council Members, Commission and Board Members, Law Department and residents; takes initiative and action to respond, resolve, and follow up in a timely manner. Communicates professionally in written or verbal format with City staff and the public to answer inquiries and provide information; informs and directs visitors to their proper destination. Gathers information to draft proclamations. Drafts new resident letters from the Mayor. Prepare memos, letters, reports and other documents using Microsoft Office, spreadsheets, and/or presentation software as requested. Refers non-routine, sensitive and/or complex requests for information and other inquiries or complaints to appropriate staff. Performs office support functions, such as sorting and distributing incoming mail and posting and delivering outgoing mail as needed. Maintaining applicable City records and files by filing rosters, directories, correspondence, and other related materials. Assist Mayor's Office with records retention and records destruction. Other duties as required and assigned by the Mayor's Executive Assistant or designee. Necessary Competencies: Excellent Communication Skills- written and verbal Exceptional Customer Service Problem Solving Prioritizing Attention to detail Teamwork Planning and organizing Knowledge of : Generally accepted administrative practices, procedures, and systems Standard office equipment including telephone systems and voice mail, photocopiers, scanners, facsimile machines, and personal computers and presentation software Correct use of grammar, punctuation, and spelling Basic arithmetic, bookkeeping, budget, and accounting procedures Department and City policies and operating procedures Skill and Ability to: Organize work in a logical and efficient manner Organize and maintain record-keeping systems Perform accurate and efficient data-entry using a computer keyboard and terminal Follow departmental or operational procedures and practices Compose routine and complex correspondence Perform simple and complex bookkeeping functions Prepare accurate and precise reports after investigating, compiling, analyzing and summarizing information Recognize unusual situations, developing and presenting recommendations Develop and implement clerical work processes, forms, etc. Develop and maintain effective working relationships with supervisor, co-workers, and the public Work on multiple tasks simultaneously Be flexible and work in a myriad of environments with interruptions Maintain confidentiality Education and Experience: Bachelor's degree in business administration, public administration, or a related field. At least two years of experience in a similar administrative support role. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Ability to work independently and manage multiple tasks simultaneously. Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Ability to handle confidential information with discretion and professionalism. Knowledge of municipal government and procedures is a plus. Physical Demands: The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires on-site work and therefore work from home is not available outside of special circumstances or workplace accommodations are approved. While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand; walk; use hands to handle or feel; reach with hands and arms; and be able to lift to 20 lbs. when necessary. Coordinate meetings and events, including preparing meeting materials, arranging logistics, and managing communication with attendees. Manage office supplies, including ordering and maintaining inventory. Coordinate with other departments and stakeholders to ensure timely completion of projects and initiatives. Assist with drafting, editing, and formatting documents, such as memos, reports, and presentations. Maintain accurate records and files, and ensure they are up-to-date and easily accessible. Handle confidential information with discretion and professionalism. Other duties as assigned by the Mayor's Office. Qualifications: Bachelor's degree in business administration, public administration, or a related field. At least two years of experience in a similar administrative support role. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Ability to work independently and manage multiple tasks simultaneously. Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Ability to handle confidential information with discretion and professionalism.
