THE ROLE As the Executive Assistant (EA) to the Chief Executive Officer (CEO), you will work closely with our CEO, and the broader executive team to support all aspects of the CEO's work routine.In this role, you will be responsible for the maintenance and organization of the CEO's personal and professional affairs, specifically prioritizing activities and competing demands, so you will need prior experience as a high-level executive and/or personal assistant to be able to perform the tasks required.Our next executive assistant will also need to demonstrate exemplary time management skills and the ability to identify and anticipate the CEO's needs. We are looking for someone who is exceptional and truly thoughtful in their approach to how they support Executive Leadership. A balance of kindness, intelligence, drive, and organization are characteristics that we are looking for in this particular team member.This position also requires the ability to think critically, and offer solutions to problems with a high level of professionalism and confidentiality. RESPONSIBILITIES Manage the schedule and communications of our CEO including, but not limited to, calendar management, inbox prioritization, and email drafting Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization Serve as a company ambassador by welcoming guests by greeting them, in person or on the phone; answering or directing inquiries Screen incoming telephone calls; take and deliver accurate messages; respond to requests and refer non-routine calls to the appropriate team member Manage sensitive matters with a high level of confidentiality and discretion Work closely with the CEO to keep him informed of upcoming commitments and responsibilities Monitor, review and approve certain company expenditures Write letters, emails and memos on behalf of the CEO Perform various administrative tasks such as monthly expenses, contact maintenance, and more. Coordinate the various logistical components of in-person meetings and conferences Handle various personal tasks, both remotely and in-person, including, but not limited to, virtual meeting scheduling, reservations, appointments, and errands Be responsive to emails/texts/phone calls, with contact outside normal business hours. Perform other duties as assigned SOFT SKILLS Excellent organizational skills and attention to detail. Superb time management skills with a proven ability to meet deadlines.
