School Director Role Qualifications: He or she has energy sustainable for an 8-10 hour day; he or she adheres to the schedule. He or she enjoys people on every level and building relationships. He or she knows and understands how to build a team. He or she has proficient computer skills, including the use of e-mail, Microsoft Word, and Microsoft Excel; his or her numbers must be consistent and accurate. He or she must have the ability to communicate, to remain neutral and calm, and to think on his or her feet in curve-ball situations. He or she must have the key ability to multitask, be organized in time management, and enjoy a clean office. He or she must enjoy learning new skills, be a self-directed learner, and be open to feedback. He or she enjoys leading, has a positive life outlook, and finds the good in all people and situations. It is helpful to be licensed in programs the school offers, but not necessary. He or she takes no matter personal; it's called running a business! He or she demonstrates proficiency in leadership, management, finance, and business. He or she has strong written and verbal communication skills and can create and maintain business and team relationships, recognize and address under-performance, and train and motivate team members with respect, recognition, and appreciation. He or she has a passion for the beauty industry and is a master of Paul Mitchell Schools' cultural and technical systems. He or she is able to collect and analyze complex data, create goals, track the return on investment (ROI), and forecast outcomes. Education and Training He or she must be a high school graduate. He or she must have some college education. *Bachelor's Degree preferred* Objective The School Director manages the day-to-day operations of the school and guides the alignment of the school systems with Paul Mitchell Schools systems; he or she inspects compliance of all franchise, state, and federal governing agency laws, rules, policies, and procedures. The School Director manages and understands all information gathered on the weekly and monthly download meeting forms and Management Meeting Minutes. School Director ' Essential Functions The School Director directs and supervises staff by hiring, training, establishing goals, and evaluating performance. He or she guides the management team to examine whether each area of the business is functioning successfully and is in compliance with all franchise, state, and federal governing agency laws, rules, policies, and procedures. He or she meets daily with the school management team to provide direction, coach, and inspect performance. He or she uses the computer and software to complete necessary tasks. He or she conducts routine and periodic inspections of school facilities for the purpose of inspecting they are in a condition of excellence to enable full educational use of the facilities at all times. He or she prepares a wide variety of written materials (e.g., correspondence, memos, reports, policy/procedures, budget, employee records, and/or conveying information). He or she attends huddle, weekly management meetings, monthly Town Hall meetings, and team training. He or she may be asked to perform other tasks as needed that do not appear on the job description. **Work is performed in an indoor environment and requires frequent sitting, standing, bending, walking, repetitive motion, and vision to monitor. ** **He or she travels domestically for recruitment and professional development. ** **Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.** Human Resource Manager He or she conducts a final interview or any other interview deemed appropriate before on boarding a new hire. He or she makes the final determination for all new hires. He or she oversees and reviews an offer letter for all new hires. He or she composes a file using the File Requirements for All Employee Personnel Files for each team member and a new hire packet for each role using the supporting forms and guides located on The HUB. He or she updates all forms required in the employee file on an annual basis. He or she oversees the payroll with or without the bookkeeper and the benefits offered and maintains control of overtime hours. He or she oversees all time-off requests and other missed time for any reason with the department leaders and inspects the proper procedures are followed for documentation as outlined in the employee manual. He or she oversees, makes recommendations on, and approves all updates to the employee handbook. Leadership He or she is The HUB master. He or she can identify the forms that support each department and coaches team performance using the appropriate form(s) to guide the coaching. He or she constantly grows in leadership qualities by actively reading, practicing, and sharing leadership skills with the team. He or she attends the Owner's Summits, Town Hall meetings, management meetings, weekly download meetings, and all other training and events deemed the highest good for the School Director to attend and lead as appropriate. He or she finds the good in all and praises the team on a daily basis. He or she learns, sustains, and leads the team in creating and living the Be Nice culture in the school. Education Leader He or she develops a relationship of trust between all Education Leaders and Learning Leaders. He or she inspires the highest performance of the Education Leader by supporting his or her growth as a leader. He or she inspects the team's progress in training, e-learning, and certification with the Education Leader on a monthly basis. He or she guides and inspects that all curriculum and education systems offered on The HUB are used within the classrooms and clinic classroom with the Education Leader. He or she approves all guest artists and oversees the accurate completion of all forms necessary to support the guest artist visits. He or she approves and oversees the schedule flow of the Learning Leaders and maintains the ratio of Learning Leader-student compliance. He or she approves all overtime for the education team. He or she understands and knows the flow of all schedules and education calendars, including Core, Protegee, Adaptive and Creative, for each schedule and program. He or she approves all budgets submitted for specialty and other classes. He or she oversees and approves the Student Council activities with the Education Leader. He or she oversees the Dean's List and Honors Program with the Education Leader or education team member. Future Professional Adviser He or she develops a relationship of trust with the Future Professional Adviser. He or she inspects the team's progress in training, e-learning, and certification with the Education Leader on a monthly basis. He or she oversees Future Professional attendance during the weekly download meeting with the Future Professional Adviser. He or she oversees all input on theory grades weekly with the Future Professional Adviser during the weekly download meeting. He or she oversees the interview flow for Future Professionals on a weekly basis with the Future Professional Adviser during the weekly download meeting. He or she manages the information given on all surveys on a weekly basis with the Future Professional Adviser during the weekly download meeting. He or she inspects that the "OOPS!" List, break sheets, and all other forms of tracking attendance are managed to the specifications of the school campus during the weekly download meeting. He or she oversees the Be Nice (Or Else!) Club activities with the Future Professional Adviser. Admissions/Enrollment He or she develops a relationship of trust between all enrollment team members. He or she is actively involved in admissions and has a daily understanding of the upcoming class starts and goals. He or she attends the weekly enrollment team download meeting and the enrollment team daily update meeting as desired or needed. He or she can manage and read the school's CRM reports and coaches the team on the reports for praise or improvement. He or she approves all community events proposed by the admissions team. He or she approves a calendar of events in house that supports the Paul Mitchell Advanced Education and John Paul Mitchell Systems recruiting events for graduates and prospective Future Professionals and a yearly calendar for class start dates and enrollment goals for each. He or she inspects the work flow on the Placement Binder and Survey Binder, including the assessment surveys and salon surveys, on a weekly and monthly basis. He or she tracks the annual enrollment goals on a quarterly basis and creates a game plan and adjusts to maintain a system to achieve the enrollment goals for the year. He or she celebrates all class starts that achieve or exceed the goal with the enrollment team. He or she inspects the team's progress in training, e-learning, and certification with the Admissions Leader on a monthly basis. He or she conducts an attendance welcome to the Core class with each class start. Service Guest and Clinic Classroom He or she develops a relationship of trust between all sales team members. He or she has a basic understanding of the Millennium system for guest service management and product inventory management. He or she inspects the progress of sales team new hires and ongoing training, e-learning, and certification with the Guest Service Leader on a monthly basis. He or she inspects and approves inventory and ordering and inspects that the budgets are maintained. He or she oversees the Caper execution with the Guest Service Leader. He or she oversees cash management of the service desk with the Guest Service Leader. He or she oversees the John Paul Mitchell Systems Take Home branding and Take Home promotions with the Guest Service Leader. He or she inspects the team's progress in training, e-learning, and certification with the Guest Service Leader on a monthly basis and approves purchase orders for the supplies needed. He or she inspects the scheduling of all sales team members with the Guest Service Leader. He or she oversees the Take Home and Brand Team/John Paul Pet Club activities with the Guest Service Leader. Compliance He or she oversees the preparation for and participates in the school's annual compliance and financial audits. He or she reviews all drops of students and guides and inspects that all refunds are made in compliance with all governing agencies with the financial aid team. He or she reviews the school compliance of all state, accrediting agency, and U.S. Department of Education requirements that govern post-secondary schools. He or she oversees all training on-site and off-site required by all agencies. He or she oversees and submits all reports required by all governing agencies on or before the due dates. He or she oversees the bank deposits for the service desk and student payments in all forms. He or she becomes a Title XI coordinator. He or she oversees and accounts for all financial transactions of the school, tuition payments, bank deposits, etc. He or she manages and understands all information gathered on the weekly and monthly download meeting forms and Management Meeting Minutes. Financial Aid He or she develops a relationship of trust between all financial aid team members. He or she inspects the progress of the financial aid team new hires and ongoing training, e-learning, and certification with the Financial Aid Leader on a monthly basis. He or she attends the required and recommended business training, including accreditation and Department of Education workshops. He or she monitors and discusses attendance and withdrawal rates during the management meeting. He or she verifies that tuition payments are made on time. He or she inspects the financial aid files weekly for compliance (three recommended). He or she inspects all files of the new starts for each class. Note: Managing financial aid is accomplished in several manners. Please discuss with the School Owner and Financial Aid Leader all specifications of the key aspects you will be held accountable to reporting on and sustaining when managing the details and complexities of this department. Managing federal aid requires a team member to be qualified in all areas of leading and reporting this information to the students and then reporting to the school's governing agencies. Get clear on the expectation. Building Operations He or she oversees the Sweep Team Checklist to maintain the school campus to its highest quality condition. He or she oversees the cleaning crew. He or she oversees the facility maintenance. He or she maintains a vendor list for all team members to use as a resource to solve maintenance challenges as they arise. Daily : Leadership team focus ' He or she meets daily with the school management team to connect, inspire, provide direction, coach, and inspect performance based on the download meetings. Customer focus ' He or she Creates Magic! for Future Professionals and service guests. He or she is available for problem solving and solution support to all team members. Clinic classroom focus ' He or she manages, inspects, and monitors the Take Home and Brand Team, Phase Two, and clinic classroom activity each day; he or she conducts the clinic classroom, back-bar, The Color Bar, and The Wash House inspections daily. Classroom focus ' He or she inspects the lesson plans and Clinic Classroom Learning Plans daily in huddle. Enrollment focus ' He or she meets with the enrollment team for its daily download meeting to review activities. Weekly : Inspect the leadership/management team ' He or she meets and reviews the weekly download meetings and notes, then sets goals and adds tasks to the team members' calendars. He or she facilitates the weekly management meeting and assigns tasks to the management team members. Inspect the operations team ' facility ' He or she conducts routine and periodic inspections of the school facilities to inspect that the school facilities are in a condition of excellence to enable their full educational use at all times. He or she manages the facility with the Operations Leader; he or she maintains and provides for a clean, fun, safe environment; he or she conducts weekly facility inspections using the Sweep Team Checklist. Accounting ' He or she checks the budget, expenses, and payroll and prepares all financial reports for the accountant and School Owner. He or she approves all product, back-bar, and school supply orders, and monitors the service desk activity, cash management, and Millennium entries as needed. He or she verifies that products and supplies are secure and accounted for. Inspect the enrollment team ' Review the school's CRM to determine if the team completes all admissions tasks and documentation in a timely manner. Monthly : Leading role in leadership ' He or she leads the Town Hall meetings. He or she reviews notes and adds tasks to the team members' calendars. He or she inspects the master calendar with the Future Professional Adviser and reviews it in each Town Hall meeting. He or she participates in the pancake breakfasts and graduations and supports student programs, such as the Design Team, Take Home and Brand Team, Student Council, Green Club, Be Nice (Or Else!) Club, Social Networking Club, Quitter's Club, and John Paul Pet Club. He or she inspects the postings on the student program bulletin board on a regular basis. He or she develops his or her skills as a motivational speaker and shares his or her message in the guest artist time slots and on the first day of every new Core program start for day and night school. Leading role in compliance ' Department of Education, NACCAS (the school's accrediting agency), and state rules and regulations ' Please refer to each agency's checklists. Attend webinars or training to be updated with the information. Paul Mitchell Schools systems ' He or she inspects all theory and specialty class progress with the Education Leader on a monthly basis. He or she reads and oversees the implementation of all communication and information provided by Paul Mitchell Advanced Education and participates in e-meetings, e-courses, monthly individual coaching calls, and group conference calls as needed. Leading role in education ' Alongside the School Owner, he or she introduces the Dean's List on the first day or night of every Core class. He or she inspects the Back on Track list with the Future Professional Advisor. Leading role in operations ' He or she conducts a regular file inspection of financial and tuition record-keeping with the Operations Leader. He or she completes the monthly report with the Operations Leader's submission to Paul Mitchell Advanced Education; he or she discusses the report in the management meeting. He or she inspects that all written materials are ordered from the required vendor. He or she monitors daily deposits and reviews the bank and credit card statements monthly; he or she provides detailed accounting to the School Owner(s) and accountant. He or she meets with the School Owner and accountant to review the income statement and balance sheet each month. Leading role in enrollment ' He or she monitors the attendance and withdrawal rates each month with the management team. He or she verifies that the tuition payments are current by reviewing the Freedom software reports; he or she meets with the School Owner and Financial Aid Leader to address the graduate/withdrawal/ probation forms each month. Quarterly: He or she reviews the school catalog, admissions materials, and enrollment contract with the School Owner. He or she manages and updates the school website and social marketing with the Admissions Leader. He or she calculates the school's outcome rates (graduation, placement, and licensure) and verifies the findings a re compliant and reported on a quarterly basis. He or she implements all systems in the Take Home area, branding, and advertising with the Guest Service Leader and Take Home and Brand Leader; he or she inspects that the school is in compliance with John Paul Mitchell Systems and Paul Mitchell Schools program guidelines. He or she implements all curriculum and education systems in the classroom and clinic classroom with the Education Leader and Future Professional Adviser. He or she inspects the education files and systems with the Education Leader on a quarterly basis. He or she reviews the career path tracking for each Learning Leader with the Education Leader, creates a training game plan, and provides a report to the School Owner. He or she manages human resource activities and files to verify compliance of state and federal guidelines. He or she inspects Future Professionals' financial aid records to verify the proper disbursements of all Title IV aid quarterly.
