JOB TITLE: Office Assistant DEPARTMENT: Recreation REPORTS TO: Director of Recreation SUMMARY OF FUNCTION Provide clerical support inclusive of all tasks related to the successful day-to-day operation of a comprehensive Recreation Department consisting of various programs and facilities. Perform a variety of tasks including bookkeeping and accounting, document preparation, customer service, scheduling events, registering participants, filing, supply ordering and fee collection. ESSENTIAL JOB FUNCTIONS Perform bookkeeping and/or accounting for the department; reconcile end of day receipts; account for all funds in cash drawer; process daily office deposits. Update and enter information into City and Recreation software programs. Prepare notices, bulletins, memoranda and large mailings using Word, Excel and/or PowerPoint programs. Schedule riders for SMART bus transportation program accurately accounting for daily ridership. Issue rental permits and collect fees. Verify proper program registration by preparing daily reports; collect fees. Provide over the counter assistance to residents regarding City services and recreation programs . Utilize computer files to locate various department records and program information. Order supplies and materials. Assist Recreation Director and Recreation Coordinators with assignments as required . SUPPLEMENTAL TASKS Assist with room setup and food/coffee services. Show shelter and room rental opportunities to the public. Participate in staff meetings, special events and professional development activities sponsored by the department. KNOWLEDGE, SKILLS, AND ABILITIES Knowledge and skill in software programs including Microsoft Office; ability to learn additional software applications. Ability to communicate effectively, both orally and in writing through the use of good business English and spelling. Ability to work cooperatively with other staff to promote teamwork. Ability to make mathematical computations quickly and accurately. Ability to efficiently organize and maintain filing systems, both manual and computerized. Skill in displaying confidence while resolving customer conflicts; able to maintain a calm, professional and reasonable demeanor. Ability to assemble data and prepare accurate records and reports. Knowledge of program/departmental rules and regulations. (preferred) Ability to type accurately. Ability to kneel, stoop, sit, or stand for long periods of time. Ability to lift 15 pounds. Ability to understand and follow oral and written instructions. EDUCATION AND EXPERIENCE Diploma from an accredited high school or equivalent. One to two years of experience working in an office setting. (preferred) Experience working in a recreation environment. (preferred) Experience working with the public. (preferred) Basic knowledge of office procedures. SPECIAL WORKING CONDITIONS Able to concentrate on the work at hand in an office environment in the presence of potentially distracting noises from sources such as, conversations, telephones, and email. SALARY RANGE - This is a temporary/seasonal position (May thru November) with a rate of $16.00 per hour. BENEFITS - N/A.
