Blue Sky Bridge is a well-established non-profit child advocacy center in Boulder, Colorado with a strong base of financial support. Blue Sky Bridge is experiencing a period of high growth, recently expanding into a larger facility, and adding capacity and additional programs. Leadership is focused on organizational excellence and prioritizes the ongoing health of staff. The Administrative Assistant is a new position focused on bringing efficiency and administrative support to a growing organization. This person will have significant opportunity to create and develop this role, while working across all departments within Blue Sky Bridge with a dedicated team of professionals. POSITION TITLE Administrative Assistant GENERAL DUTIES Coordinates and maintains administrative functions across Blue Sky Bridge supporting the Executive Director, Operations Team, Intervention Team, and Therapy Team. SPECIFIC RESPONSIBILITIES Scheduling support including: Coordinating family meetings, support scheduling of interpreters, scheduling speakers and planning meetings, speaking opportunities, donor meetings, and other needs as assigned Maintaining accurate data in databases including: Records of family visits. Therapist guild administration information. OMS survey entering with delegation to interns. Supporting HR administrative tasks including: Employee onboarding and offboarding. Intern recruiting support from resume review to scheduling and conducting screening interviews. Updating policies and procedures as needed. Updating and organizing celebrations for staff birthdays, work anniversaries, and other gifts or celebrations as needed. Administrative tasks including: Maintaining and updating agendas including staff meeting agendas, and board meeting agendas. Collecting onboarding materials from Board members. Assisting with the completion of expense reports. Assisting with Administration of Accreditation process in 2024-2025. Small daily projects as assigned. REQUIRED SKILLS AND EXPERIENCE Ability to interact with diverse constituents in a discreet and professional manner. Excellent written and oral communication skills. Flexibility and the ability to work well with a variety of disciplines. Detail-oriented & organized Strong computer skills, including competency in Microsoft Word, Excel, and PowerPoint, Google Sheets and Keep, and Dropbox, as well as the ability to manipulate pdf forms and other add-ons and programs as necessary. Working knowledge of office systems, equipment, and administrative procedures. Ability to skillfully work in a group or independently. Ability to manage multiple priorities. Ability to work with sensitive and confidential information. Self-motivated. Attentive learner. Must be able to pass background screening checks. Physical ability to move between buildings, lift 20lbs, and go up and down stairs. PREFERRED SKILLS Ability to speak & write both English and Spanish, fluently. Understanding of trauma-informed work environments and cultural humility. Awareness of, and strategies for coping with, stress and/or vicarious trauma. Confidence in expressing thoughts, and reflective receptivity to feedback. Group coordination experience. COMPENSATION AND BENEFITS Blue Sky Bridge is committed to offering competitive compensation and benefits. This position is salaried, with a starting range of $41,000-$54,000, depending upon experience. Paid time off, Medical/Dental/Vision/401K/Life and AD&D, Parental Leave, Wellness Benefits, and Training opportunities.
