Role: Human Resources Specialist Location: Central Office Reports to: Director of Human Resources FLSA Status: Non Exempt Contract Days: 230 days Retirement: TRS Key Duties and Responsibilities Review and process initial certification, certification renewals and upgrades for all veteran and newly employed personnel. Assist certified personnel and principals in evaluating transcripts and/or certification records. Ensure that all salary adjustments due to certification upgrades and changes are communicated to the Payroll Specialist in a timely manner. Ensure accuracy of each employee's placement on the corresponding salary scale for employee's position. Complete onboarding process for all new employees. Maintain personnel database in Smartfusion. Assist all employees with and maintain Etrieve login credentials. Report all new employees to the Federal e-Verify System in a timely manner. Assist in compiling accurate data on all employees for periodic CPI reporting to ensure maximum and accurate state and federal funding, submitting CPI report annually in October, March and July. Assist employees in the retirement process and ensure all retirement related forms are submitted in a timely manner. Submit in a timely manner all requests for payments of invoices for insurance, background checks, Department of Labor, etc... Works closely with the Payroll Department to submit all personnel/payroll needs in a timely manner. Assists in creating personnel sheet for the Director of Human Resources reflecting personnel recommendations, resignations, changes, and other personnel requests for presentation to the Board of Education. Maintain personnel files. Respond in a timely manner to Verification of Employment requests for prior employees, as well as requests for employment and salary verifications on current employees; likewise, provide employment and salary verification memos/letters to employees upon request. Respond to initial reports of employee incidents reported to workers' compensation agency; act as ongoing liaison between employee and agency; monitor employee absences and communicate with Payroll Specialist and employee regarding negative paychecks or partial payments as a result of loss of work to determine appropriate action for deductions. Provide information to employees and process enrollment annually for health insurance/benefits. Participate in training programs and meetings to increase knowledge, skills and proficiency related to the position. Provide excellent customer service at all times. Maintain strict confidentiality with all sensitive material or information. Demonstrate prompt and regular attendance and the ability to adapt to an extended/flexible work schedule. Ensure adherence to good safety procedures. Follow federal and state laws, as well as Board policies. Perform other duties as assigned.
