Summary / Objective: Answers all incoming phone calls in a professional and pleasant manner and directs to the appropriate department or staff member. Works cooperatively with co-workers and clients to provide exceptional service. Essential Duties and Responsibilities: The following duties are normal for this position. Answer and respond to phone calls speaking clearly and professionally. Forward calls to the appropriate staff member. Accurately take messages or forward calls to voicemail in the absence of bank staff. Effectively operate communication equipment, including multi-line telephone system and electronic call management system. Regularly provide backup support to the Receptionist position and consistently participate in rotations in the reception area to provide coverage for lunches, vacations, PTO, etc. by physically sitting in the front lobby of the Operations Center. When sitting at the front entrance greet vendors and clients in a professional manner. Ensure that visitors are directed to the appropriate bank staff member. Ordering and maintaining office and kitchen supplies. Maintain proper office and kitchen supplies through regular inventory monitoring and ordering process according to the checklist. Regularly rotate the responsibility of opening and closing both the first and second floor kitchens with Receptionist. This includes, but is not limited to, opening and closing blinds, stocking the beverage refrigerator and other supplies (paper products, coffee supplies, etc.), and starting the dishwashers. Works closely with the Administrative Office Manager, other Telephone Receptionists, and the front Receptionist to ensure proper phone coverage. This includes participating in proper lunch schedules among the team and requires a physical presence during coverage of the front Receptionist Performs various clerical duties including, but not limited to, company mailings. Competencies: Ethical conduct Technical aptitude in computer software programs Accuracy and thoroughness Consistency and reliability Receptive listener and good communicator Ability to work independently Relationship management Responsive and flexible to o ther duties as assigned on an intermittent or regular basis as needed. Supervisory Responsibility: This position has no direct supervisory responsibilities. Work Environment: This job operates in a clerical, office setting. This position uses standard office equipment such as computers, phones, photocopiers, scanners, fax machines and filing cabinets on a daily basis. Physical Demands: Most of this position's responsibilities and duties are performed sitting or standing at a workstation. Some filing and storage duties are required by this position. The ability to lift files, open filing cabinets, bend or stand on a stool, as well as loading and carrying boxes is a necessary ability. This position may be required to lift up to 25 pounds. The physical demands described here are representative of those that must be met to successfully perform the essential functions of this job. Position Type / Expected Hours of Work: This position is classified as non-exempt by the Fair Labor Standards Act (FLSA). Typical hours will be Monday - Friday 8:00 am - 5:00 pm. Additional hours may be required. Required Education and Experience: High School Diploma or equivalent One year of relevant work experience in an office or professional setting Preferred Education and Experience: Three or more years' experience in a professional setting General knowledge of banking terminology Additional Eligibility Qualifications: Pre-employment screening required including employment reference, criminal background check, credit check and possibly skills testing. This position is regularly exposed to sensitive information, trade secrets or proprietary information and the incumbent is required to keep any such information strictly confidential. Consistently reports to work on time and prepared to perform duties of position. Exhibits professional appearance in accordance with Signature Bank's dress code standards.
