Summary: Provides overall direction to the operations department to ensure maximum customer service and appropriate control over the processing of all transactions to achieve the bank's strategic business objectives in a safe, efficient and effective manner. Reviews and monitors bank policies and procedures to ensure compliance with federal and state banking regulations. Oversees staffing to assure continuity, innovation and effectiveness in support of the bank's operational functions. Administers on-going relationships with third party vendors and service providers to maintain service levels. As a member of the bank team, is expected to be a leader in promoting high morale, in exhibiting positive attitudes toward customers and with fellow employees, instilling a sense of team spirit, and support company initiatives. Essential Duties and Responsibilities includes the following. Other duties may be assigned. Directs daily activities of Operations Specialist and Electronic Banking staff to ensure efficient and effective operations. Oversees proof operations, exception processing, NSF, ACH, customer adjustments, processing of in-clearing items, debit cards, and cash letters, wire transfer, internet banking, cash management, mobility, credit cards, maintenance verification and system updates. Monitors ACH operations to ensure files are sent timely and balanced daily. Ensures that properly trained staff, adequate controls, and appropriate procedures are in place to provide quality products, high customer service levels and will meet the needs of the bank in an innovative and proactive manner. Directs staff in a manner that promotes good public relations between the customer base, vendors and the bank. Assists with ensuring that the bank has operational systems and procedures which support current and anticipated needs for delivering financial service to customers. Confers with the CFO to jointly prioritize and develop specific plans and projects in support of the bank's operational needs. Assists in the implementation of new operational systems and upgrades/enhancements which support user groups throughout the bank in achieving their goals for operational efficiency and effectiveness. Serves as contact with third party vendors and service providers to assure that products and services are delivered as specified and upgrades/enhancements are implemented without disruption to support levels. Determines training needs for procedural changes; maintains core system parameters. Works with the CFO to assure that the bank has access to and is prepared to apply innovations in operational systems and support functions; recommends changes which match these to the bank's needs. Directs the use of statistical measures of operational work flow to monitor and control output quality. Assists with the establishment and implementation of the bank's operational processing contingency and disaster recovery plans. Assists with the development, implementation and monitoring of operational and compliance policies and procedures to assure compliance with all applicable laws and regulations. Maintains current knowledge base of compliance requirements and pending changes. Helps in the coordination and support of audits and examinations that involve the Operations or Treasury Management departments. Works closely with the Treasury Management department to develop legal forms, procedures, and customer communications and to ensure that customers are on-boarded and maintained in a pleasant, efficient and secure manner. Works closely with the Retail department to support deposit functions. Assists customers and bank personnel in problem resolution; communicates in a professional manner with clear emphasis on providing quality customer service and operational support. Completes special projects, and assumes additional responsibilities as needed, to include back-up for Operations Specialists. Adheres to all State and Federal Banking Regulations. S.) from four-year college or university in business or related field. Minimum of five years banking experience in backroom operations with experience interpreting and implementing regulations and developing contracts. Desire previous backroom operations management experience. Language Skills Ability to read, analyze, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Mathematical Skills Ability to calculate figures and amounts such as discounts, interest, commissions and percentages. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Computer Skills To perform this job successfully, an individual should have a strong knowledge of PC skills including Microsoft Word, Excel, and Outlook. Must be proficient in web-based applications and researching items on the web. Prefer knowledge of Fiserv systems.
