Young Newport Entrepreneur and philanthropist seeks a part-time administrative assistant / personal secretary to help organize my home-based office (this Is a critical 2-week project on its own), support my Marketing & PR business as well as my pro bono work for various charities across the world .
General responsibilities include but are not limited to:
LOTS of filing, tracking and logging receipts, track incoming and outgoing correspondence
Occasional small errands to post office and Staples
communicating with my clients, charities and or their own assistants using clear and professional language
prepare and review written documents accurately and completely (many letters to be typed which I will dictate for you in advance into a digital recorder)
Enter and retrieve information in computer using a keyboard, mouse, or trackball to create / update records and files
Transmit information or documents using a computer, mail, or fax
Prepare letters, memos, and other documents using Microsoft Word, Excel, or Power Point
Take charge of and maintain computer and paper-based filing and organization systems for records, reports, receipts, documents, etc.
Compile, copy, sort, and file business expenses and activities, as well as personal expenses and activities
Track and log my pro-bono charity hours
Requirements for application
Candidates should have their own lap top
A solid grasp of English Grammar
Your own form of reliable transportation,
Be responsible, timely, discreet, even-tempered, and have some kind of a sense of humor
A resume and references
Posses at least 2 years clerical or executive assistant/secretarial experience working directly for an individual or team of executives /supervisors.
You should be able to move, lift, carry, push, pull, and place objects weighing less than or equal to 15 pounds without assistance.
Have a valid Drivers License
Have at least an associates degree or provide proof of being a current college student. If you have very little to no college experience, then your resume should reflect significant prior experience; I have worked alongside seasoned and terrific secretaries that have never gone to college before.
Misc.
Though the position is based at a home office, the ideal candidate should maintain a high level of professionalism and an even higher level of confidentiality with respect to proprietary information (protect personal, business and clients' company assets and trade secrets).
Added plus: There are NO PHONES to answer and the schedule is somewhat flexible. After two weeks, about 35% of your workload could be done from your home, provided hours are properly and fairly accounted for. If you work more than 4 hours at a time a lunch or snack will be provided.
The pay is in cash 2x per month. The first twenty hours will be paid DAILY, the second set of 20 hours at week’s end (Friday) and from then on every two weeks, always in cash.
The # of weekly hours, pay rate, bonuses, level of responsibilities and title can improve significantly, and quickly, if the right individual with initiative steps into the job. My business is starting to grow (moving to an office space in about 3 months) and I would like someone to grow with it., but if you are just interested in a part time clerical job that is just fine too.
