This job is being posted on behalf of our client, St. Patrick's Episcopal Day School. WHO WE ARE The Day School St. Patrick’s Episcopal Day School, located in the Palisades section of northwest Washington, D.C., is a parish day school enrolling more than 500 students on two campuses. The Day School program begins at the three-year-old Nursery level and continues through Grade 8. St. Patrick’s students, whose families live throughout the Washington, D.C. metropolitan area, go on to a variety of fine independent schools upon graduation. St. Patrick’s has grown and changed significantly since its founding over 65 years ago. Opening in 1956 as a nursery school for parish families, St. Patrick’s began expanding through the elementary grades in 1967 and added Grades 7 and 8 on the MacArthur Campus in 2001 and 2002. Since 2000, we have also transformed the main Whitehaven Campus, the longtime home of our nursery and elementary programs, with new classrooms, two new libraries, and a gymnasium and performance center. In 2012, St. Patrick’s completed an $8-million campaign that supported construction of our first regulation athletic field and related infrastructure on the emerging Foxhall Campu s. Even with all of this change, the core of the institution has remained constant. JOB SUMMARY The Executive Assistant to the Head of School provides a full range of administrative, operational, and strategic support to maintain an effective and well-organized office. In addition to supporting the Head of School, the Executive Assistant also holds responsibility for oversight of the school’s main front office and reception areas and manages select special projects. JOB RESPONSIBILITIES Serves as a representative of the Head of School, in a professional, hospitable, and responsive manner. Ensures that the Head is well-informed, maintaining necessary confidentiality, professionalism, and sensitivity. Maintains the Head of School’s calendar to include scheduling and maintaining their appointments and meetings. Manages Head’s communication (phones, email, and mail), applying necessary judgment to determine priorities and importance. Establishes systems to ensure the Head is provided with the necessary background information and briefing materials for meetings, events, and speaking engagements Helps oversee the Head of School budget and the school calendar. Manages the main office operations including coordination and oversight of day-to-day services and administrative activities, including delegating appropriate tasks, and coordinating coverage of the front desk. Maintains the all-school public calendars and coordinates the scheduling of all events within the school, in collaboration with faculty, staff, and administrators. Fosters a relationship and collaborates regularly with the academic divisions and staff offices. Coordinates Head of School’s travel and arrangements away from the office. Sends gifts and condolence gest ures on behalf of the school for special occasions. Works with the administrative team to coordinate workflow, facilitate projects, and plan meetings and retreats. Provides administrative support to the Board of Trustees to include board meeting notes occasionally. Draft email correspondence and respond to emails on behalf of the Head of School. Draft monthly newsletter to faculty and staff and other publications at the request of the Head of School . Performs other duties as assigned by and in support of the Head of School. JOB QUALIFICATIONS Associate or bachelor’s degree preferred. Minimum of 5 years as an executive assistant supporting a senior leader; experience in an independent school environment is a plus. Superior organizational skills, project management experience, and reporting, research, and logistics skills; Highly proficient in Microsoft Word, Excel, PowerPoint, and Google Suite; and exemplary verbal and written communication skills. Ability to work and communicate effectively, professionally, and cheerfully with a wide range of individuals, including children. Proactive problem-solving, both detail-oriented and flexible Mature judgment and the ability to maintain confidentiality and composure under pressure. Proficiency in managing multiple priorities strategically and under tight deadlines, while maintaining a high degree of accuracy. JOB DETAILS This job is a full-time, on-site , 12-month position , Monday-Friday 7:45 - 4 : 45 pm located in the northwest DC area with a competitive salary, medical and dental insurance, and a generous vacation package connected to the school calendar. The employee benefits guide is available upon request. This position may require flexibility to work some non-traditional work hours, including occasional nights and weekends. The successful applicant will be subject to passing a background check, and any other related screenings required for this role.
