Program Assistant Tsaile Campus Duty Schedule: Monday - Friday (some weekends and nights required) Summary/Objective of Position: As the Program Assistant, the roles are: to synchronize the operations involved in the successful completion of the various Navajo Cultural Arts Program project; to provide professional duties for a smooth operation of the office and the resources; to be capable of all that involves being a Program Assistant, including organizing lectures and workshop series and tracking Emerging Artisan progress. This position, requires an individual who is a highly creative extrovert, out-going personality, highly motivated, and great communication skills. Assist the program manager in preparation of proposals in submission process for grants and contracts includes word processing spreadsheet and budget preparation, in accordance with Dine College and funding organization submission requirements. Also includes preparation and tracking of Dine College administrative review and approval forms for grants and contracts, and coordination with the institutional Grants Office in the process. Under the supervision of program manager, prepare and submit all purchasing and related documents to the Business Office; Purchase Requisitions, Travel Authorizations, Vehicle Request Forms, Consultant Contracts, and maintain complete of all such documents. Maintain all documentation of vehicle use of any vehicles assigned to grant activities, and submit vehicle use reports on a timely basis to appropriate office(s). Assist program manager in coordinating internal and external meeting schedules, travel schedules, contacts and other participating person, travel and meeting room arrangements, etc. as necessary Assist the program manager in preparation and submission of "close-out" documents to funding organizations for completed grants and contracts, which may include final progress reports, inventory reports and invention reports and forward these same documents as appropriate to the institutional Grants Office. Assist program manager with student progress in the Silversmithing and Weaving programs, including offering workshop hours, reinforcing safety protocol and providing critical feedback for BFA and NCA silversmithing and weaving students. Travel and chaperone events, field trips, and workshop outings sponsored by NCAP. Assist the program manager with the collection, graphing, and analyzing of data collected from NCAP participants. QUALIFICATIONS Education & Experience Preferred: A Bachelors Degree in Education, Social Behavior Science, Fine Arts or closely related field preferred. Knowledge: -Strong organizational and time management skill. -Ability to work independently. -Ability to interact in a professional manner with staff, students, and the public. -Excellent verbal and written communication skills. -Independent decision making and problem-solving abilities. -Knowledge in Navajo Cultural Arts. Skills: -Proficient skills with Microsoft Office. i.e. Excel, Word, etc. -Must have strong project management and organizational abilities and skills. -Strong written and verbal communication skills; written, oral, active listening and interpersonal skills. -Excellent customer service skills using tact and diplomacy; professional and pleasant office manner. -Excellent listening skills; patient and calm. Abilities: -Ability to analyze and interpret data. -Ability to prioritize information in a timely manner. -Ability to communicate clearly by phone and in person. -Detail oriented and able to organize and manage multiple projects while maintaining a high level of accuracy. -Ability to handle multiple tasks and issues. -Ability to understand and explain to others technical information in a manner that is easily understood. Physical Requirements, Work Environment & Travel: Work is typically done in an Office work environment. At times required to lift typical office equipment and supplies. Travel required to other campus and sites. Travel required by vehicle and at times by air to conferences and training out of state. In addition, chaperone of students will be required. Able to work in a high pressure office setting during peak business times of the year. Other Requirement(s): -Valid State Driver's License. -Ability to Speak Navajo is a plus. -Interest in Navajo Cultural Arts is a plus.
