Reporting to the Field Office Staff Accountant, the Accounts Payable Processor will be responsible for the AP cycle, providing accounting, administrative and clerical support by ensuring payments are completed and expenses are controlled by processing, verifying and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner. DUTIES Complete all aspects accounts payable process: maintain vendor database, process payment requests, obtain appropriate signatures and/or approvals. Print/mail or process payments in any form required (check, wires, ACH) and file completed documents. Verification and processing of all clients, partners, and vendor invoices per organization procedures. Ensuring all invoices and check requests have proper approval and corresponding back-up documentation. Manage communication through establishing and maintaining relationships with new and existing partners and vendors. Analyzing AP report to ensure bills are paid timely and accurately, as wells as identify and resolve payment discrepancies and responding to clients and partners inquires. Maintain proper electronic filing system, as well as identify and implement process improvements to enhance quality and efficiency of the AP process. Assist in securing LIRS cash assets by managing petty cash, opening, and distributing incoming mail and forwarding all cash/check items to accounts receivable staff. Assist with annual audit support and preparations 1099 forms at year end and ensure contracts and W-9 forms are on file. Perform data entry associated with accounts payables in MIP accounting system, this includes ensuring expenses are accurately coded. Assist with month end closing including ownership of expense accrual, as well as prepare reconciliations for assigned general ledger accounts and follow up on outstanding checks, identify and resolve issues. Collaborate with Field Office Staff Accountant and other field office staff on other ad hoc reports, corporate credit reports cand projects as required. Support execution of programs and perform other duties as assigned. QUALIFICATIONS Associate degree preferred; High School diploma or equivalent required and 2 to 4 years accounts payable or bookkeeping experience required. Experience in non-profit or government sector a plus. Knowledge of basic Accounting Principles and US GAAP and working knowledge in using General Ledger software an accounts payable related module; experience in Abila MIP is a plus. High proficiency with Excel and other Microsoft Suite applications. Strong attention to detail and well organized, with ability to manage tasks in a fast-paced environment and meet deadlines under minimal supervision. Excellent written and oral communication skills. Must be able to communicate professional with external partners/vendors and across all levels of the organization. Excellent problem-solving skills and desire to serve and support others. Demonstrate ability to be flexible in responding to changing priorities and work demands Experience with and commitment to working in a very diverse workforce environment.
