FLSA Status: Nonexempt Position Description The content management specialist for the Quality Control and Content Management (QCCM) group assists the QCCM Senior Manager and other program personnel with preparing documents and products for or by IIR clients and provides administrative services, as required. An IIR content management specialist is responsible for organizing the quality control (QC) process and maintaining file organization and version control of IIR-generated documents. Responsibilities Conduct channel management and file folder cleanup to maintain organization and version control Coordinate the QC process of all IIR products with the editors, including products produced by Multimedia Organize and facilitate the QC process, communication, and version control for training curricula, instructor guides, scripts for online training, participants' guides, and classroom handouts, including PowerPoints, training videos, classroom journals, and student handbooks Organize and facilitate the QC process, communication, and version control for the review of website content, webinar announcements, and email blasts Organize and facilitate the QC process, communication, formatting, and version control for progress reports, quarterly training reports, statements of work, concept papers, and grant applications and all accompanying components and documentation required Organize and facilitate the QC process, communication, formatting, and version control for documents and materials for large summits and conferences Organize and facilitate the QC process, communication, formatting, and version control for contracts and the accompanying correspondence and ensure that appropriate items are enclosed in the packet for dissemination Organize and facilitate and maintain the QC process, communication, formatting, and version control for corporate and instructor bios and résumés Format and review correspondence, meeting minutes, talking points, manuscripts, program briefings, assessment reports and recommendations, news articles, newsletters, success stories, white papers, and annual reports Format, review, and prepare training materials, flyers, agendas, and attendee lists Create, format, and merge templates, fillable forms, certificates, name tags, and name tents for trainings and program meetings Answer and direct incoming phone calls Enter data into internal electronic data systems and proofread entries for accuracy Serve as backup for posting and carrying mail to the post office Ensure that building shutdown procedures are completed prior to departure at the close of business Other duties, as assigned Knowledge and Skills Associate's degree preferred Minimum two years of job-related experience Strong attention to detail Excellent verbal and written communication skills Ability to work independently and in teams Ability to effectively handle and prioritize multiple projects and tasks Strong customer-service skills Proficient in Adobe Acrobat and Microsoft Office Suite with specialized expertise in Microsoft Word (track changes), PowerPoint, and Excel Experience with Microsoft Teams and SharePoint preferred Ability to perform job using critical thinking and decisive reasoning Ability to comprehend complex documents and decipher key points Physical Demands and Work Environment Most work is performed in a highly productive and fast-paced virtual office environment with occasional in-office responsibilities. Employees must be able to maintain a quiet, noise-free home office space that is free of distractions. Tasks may include preparing shipments of materials requiring the lifting and transport (with or without reasonable accommodation) of shipment boxes typically weighing up to approximately 50 pounds.
